Our services
Acceptance of Terms
By accessing [https://cashflowbusinesssolutions.com](https://cashflowbusinesssolutions.com), submitting an intake form, or purchasing our bookkeeping and advisory services, you agree to be bound by these Terms & Conditions.
Scope of Services
Bookkeeping & Advisory: Cash Flow Business Solutions provides bookkeeping, software setup, account reconciliations, financial diagnostic reviews, and CFO advisory services.
No CPA or Legal Advice: We provide financial record-keeping, management reporting, and back-office operational support. Our services do not constitute formal CPA audit opinions, legal representation, or tax filing unless explicitly specified under a separate written tax engagement agreement.
Client Responsibilities & Data Accuracy
Timely Information: Client agrees to provide accurate, complete financial records, bank statements, and transaction explanations in a timely manner. Delays in providing records may result in delayed monthly closes.
Account Access: Client is responsible for maintaining active user permissions for required software (e.g., QBO Accountant Access).
Billing, Retainers, & Quarterly Alignment
Retainer Payments: Recurring services are billed in advance on a monthly or quarterly schedule via automated electronic payment (credit card or ACH).
Quarterly Service Alignment: Client retainers align with standardized calendar quarters (Q1–Q4). Mid-quarter onboarding includes a prorated initial period coupled with a commitment through the end of the subsequent full calendar quarter.
Add-On & Scope Adjustments: Additional services (e.g., historical clean-ups, software migrations, AP/AR management) selected during intake or requested during service will be billed as specified on the custom agreement.
Communication Policy
To maintain focused execution and accurate record-keeping, all routine communications, document exchanges, and report updates are conducted asynchronously via email or our client portal. Live strategy calls must be scheduled in advance through our designated booking links.
Limited of Liability
To the maximum extent permitted by law, Cash Flow Business Solutions shall not be liable for any indirect, incidental, or consequential damages resulting from incomplete or inaccurate data provided by the Client, tax authority penalties resulting from unprovided records, or third-party software outages (e.g., Intuit, Stripe). Total liability shall not exceed the amount paid by the Client for services rendered during the preceding three (3) months.
Termination
Either party may terminate service with 30 days’ written notice prior to the start of the next billing cycle. Billing cycle is per Quarter.
To maintain standardized financial reporting, all Client retainers align with calendar quarters (Q1: Jan 1–Mar 31 | Q2: Apr 1–Jun 30 | Q3: Jul 1–Sep 30 | Q4: Oct 1–Dec 31).
Mid-Quarter Onboarding: Clients onboarding mid-quarter agree to a prorated fee covering the remaining days of the initial quarter, attached to a minimum commitment through the end of the subsequent full calendar quarter.
Standard Renewal: At the end of each synchronized quarter, agreements automatically renew for the following calendar quarter unless a written 30-day non-renewal notice is provided prior to the quarter-end cutoff date.
Prohibited activities
Unauthorized Use: You may not use our themes or Services for any unlawful or prohibited purpose, including but not limited to distributing malware, engaging in hacking, or violating any applicable laws.
Reverse Engineering: You may not decompile, reverse engineer, or attempt to obtain the source code of any theme or software provided by the Company.
Services management
Support: The Company provides support for its themes as described in the Support and Updates policy. Support inquiries should be directed through our designated support channels.
Termination: The Company reserves the right to terminate or suspend your access to our Services at its discretion, without notice, for any violation of these Terms.
Changes to Terms: The Company may update these Terms from time to time. It is your responsibility to review the Terms periodically. Your continued use of the Services after any changes to these Terms constitutes acceptance of those changes.
Client Communications & Boundaries
To ensure efficient, asynchronous service execution and accurate audit trails, all routine client communication, document uploads, and reporting updates are managed strictly via email and our client portal. All client interactions are governed by our Communication & Support Policy, which outlines our response times, unscheduled call policies, and business operating hours.
Scope of Financial Guidance
Diagnostic reviews, forecasting, and strategic insights provided by Cash Flow Business Solutions are for operational and management purposes only and do not constitute formal CPA audit opinions or guaranteed financial outcomes. Refund & Cancellation Clause
One-time project fees, including Cash Flow Blueprints, historical clean-ups, and software migrations, are non-refundable once service execution has commenced. Recurring retainer cancellations require 30 days’ written notice prior to the start of the next billing quarter, as detailed in our full Refund & Cancellation Policy.
